(hereinafter referred to as “we”, “us” or “our”) set forth this Privacy Policy (hereinafter referred to as the “Policy”) with respect to the handling of information of users (members, individuals who intend to register as a member and anyone who browses the services we provide (hereinafter referred to as the “Services”) are hereinafter collectively referred to as a “User”) including their personal information, and make efforts for the proper protection and use of the User’s information in accordance with this Policy. In order to use the Services, we ask the User to read the Policy carefully and agree to the contents. If you are not able to agree to the Policy, we shall refuse the access to and use of the Services. Furthermore, our website is not intended for minors. No minor may provide any information to the website. We do not knowingly collect personal information from minors. If you are a minor, do not use or provide any information on this website or through any of its features. If we learn we have collected or received personal information from a minor, we will delete that information. If you believe we might have any information from or about a minor, please contact us at the email address provided in Section 10.
1. User’s Information Collected and Method of Collection
In this Policy, “User’s Information” means the information collected by us pursuant to the Policy, including information related to the identification of User, history of action on the communication service and any other information generated or accumulated in relation to User or the terminal devices of User such as the User’s smart phone or personal computer. User’s Information that we may collect through the Service, is as follows, depending on the method of collection. (1) Information provided by Users • Account information (when an account is created, the user will be asked to input certain information such as their name, email address and date of birth) • Personal identification information (including credit card information, passport information, mobile phone number and photograph) • Other information that User inputs in the forms prescribed by us (2) Information we collect from User through the use of the Services We may collect information relating to access to the Service, usage status and the method of using the Services. These include the following types of information. • Device information • Log information • Cookies or similar technologies, anonymous IDs and location information • Booking information for accommodation, transportation and other types of facilities subject to reservations (hereinafter referred to as “Facilities”) • Usage information pertaining to Facilities (purpose of use, usage status and method of use) (3) Information members may choose to enter • Communication (contents of contact Users made with other users though our application, web site and other services) • Answer to questionnaires • Communication with our HafH Concierge and HafH Network • Opinions and impressions with respect to Facilities (4) Information collected from third parties • Introductory essays and opinions from other Users and Facilities
2. Purpose of Use
(1) User Information shall be used not only for the provision of the Services as specified in paragraph (2), but may also be used for other purposes as specified in paragraph (3). (2) The specific purposes of use of Users information related to the provision of the Service are as follows. • Provision, maintenance, protection and improvement of the Services, including but not limited to the acceptance of registration for the Services, identification of individuals and calculation of user fees related to the Services • Provision of the Services by us or Facilities based on reservations made by Users • Guidance and response to inquiries related to the Services • Addressing violations of our terms and policies (hereinafter referred to as the “Terms”) related to the Services • Notice of modifications or amendments to the Terms related to the Services • Prevention of trouble or issues between Users and third parties or Facilities, or to prevent trouble if we have reasonable grounds to suspect the occurrence of such, in relation to the Services • Other purposes incidental to the foregoing (3) The purposes of use other than (2) above are as follows. The descriptions in parentheses are the items of User information corresponding to each purpose of use. • Creation of statistical data in relation to the Service, processed in a form which does not allow for the identification of specific individuals (terminal information, log information, cookies and anonymous IDs, and location information) • Distribution and display of advertisements by us or third parties as well as measuring the effectiveness of advertisements (email address, terminal information, log information, cookies and anonymous IDs, and location information) • Other marketing (name, email address, date of birth and other information that Users input in the form prescribed by us) • Prevention of usage in violation of our rules and regulations and the duplicate use of promotional campaigns (first month discounts) (name, email address, date of birth, reason for withdrawing membership and use of promotional campaigns)
3. Method of Notice, Publication and Permission; Method of Discontinuance of Use
If the User specifies a certain setting, the User is entitled to require us to, and we shall immediately, discontinue the use of all or a part of User’s Information, in accordance with such rules as may be from time to time prescribed. If the User wishes to opt-out from our use of the User’s Information, an opt-out can be requested by sending us your request to the email address provided in Section 10. However, depending on the items of information, we may not be able to discontinue such collection unless the User withdraws from the Services pursuant to the procedures as determined by us because collecting or using the information is the premise of the Services. When we delete personal data or discard equipment or electronic media on which personal data is recorded, we will carry it out in a manner that makes the data unrecoverable.
4. Provision of Personal Information to Agencies
We shall provide personal information of Users within the scope necessary to provide the Services to Facilities (including travel and other agencies necessary to make the arrangements; hereinafter referred to as “Agencies”) as follows which User consents to in advance. 1. Personal information provided Name, mobile phone number, email address, passport information, booking information, cancellation history, usage history, and other information in our possession considered necessary for the provision of the Services. 2. Agencies information provided to Agencies that User has booked, cancelled, stayed at, boarded or contacted. 3. Purpose of provision (a) to provide the Services to the User (b) to prevent trouble or issues arising between Users and third parties or Agencies, or to prevent trouble if we have reasonable grounds to suspect the occurrence of such, in relation to the Services. 4. Method of provision Our system, by electronic means or by telephone. 5. Provision to third parties in foreign countries. In the event that the Agencies which personal information is to be provided to is located in a country other than Japan, the personal information of Users shall be handled pursuant to the laws and other regulations of that foreign country. 5. Provision to Third Parties
Unless required by the Act on the Protection of Personal Information (the “Act”) or other applicable laws and regulations, we shall not provide to any third party personal information contained in User’s Information without the prior consent of the User unless: 1. When providing personal information pursuant to the preceding paragraph, “Provision of Personal Information to Agencies”; 2. We entrust such third party to handle personal information in whole or a part to the extent necessary for achieving the purpose of use; 3. The personal information is provided through a business transfer by way of merger or other similar transactions; 4. We are required to cooperate with government agencies or local public entities or their agents to perform their duties or obligations pursuant to applicable laws and regulations, and such performance is likely to be precluded if the consent of User must be obtained; and 5. In addition to the foregoing, we are entitled to disclose information pursuant to the Act or other applicable laws and regulations.
With respect to item (2) above, we outsource part of the tasks needed to provide the Services to third parties (including subcontracting by contracted parties, collectively referred to as “Contractors”) in the following foreign countries (countries or regions located outside of Japan), and may provide Contractors with personal information, which User consents to in advance.

6. Provision of Personal Information by Agencies
We may receive personal information of Users from Agencies as follows which User consents to in advance. (1) Personal information received Name, mobile phone number, booking information, cancellation history, usage history, other information that is considered necessary by us for the purpose of receiving the Services. (2) Agencies providing information Agencies which User has booked, cancelled, stayed at, boarded or contacted. (3) Purpose of provision • To provide the Services to the User • For the payment of considerations to Agencies • To resolve or prevent trouble or issues arising between Users and third parties or Agencies, or to prevent trouble if we have reasonable grounds to suspect the occurrence of such, in relation to the Services (4) Method of provision Our system, by electronic means or by telephone
7. Website Activity History
We may collect User activity and attribute information from the Service website through the use of cookies and other technologies (note that information related to individuals will not allow for the identification of specific individuals). With respect to the collection of such information, tools and advertising distribution services provided by third parties may be used, and advertisement information clicked prior to visiting the Service website may be collected from the third party tool or service (including the click date, third party tool or service) and compared against the User's personal information and integrated. Our advertisements are listed on various internet sites operated by third party business operators including Google, Yahoo! JAPAN and Meta (Facebook). Such third party business operators may distribute advertisement based on information related to access status, registered details and usage status of the Service through the use of cookies and other technologies. Users may disable cookies by accessing the opt-out page of the third party business operators.
8. Disclosure of Personal Information
(1) Pursuant to the provisions of the Act, we shall disclose personal information or records of provision to third parties without delay to the User when the disclosure is requested from the User after confirming that the request is made by the owner of the information. (We shall notify the User if the personal information or record of provision to a third party does not exist.) Provided, however, this does not apply in cases where we are not subject to the obligations of disclosure. Applications for the disclosure of personal information shall be submitted in the manner prescribed by us and please note that there is a handling fee charged (1,000 yen plus taxes per application). (2) With respect to the method of disclosure, pursuant to the provisions of the Act, disclosure shall be made in the method requested by the User, however, when disclosure by such means is not feasible, we may request that the method be changed to one which we can perform.
9. Correction and Suspension of Use of Personal Information
(1) In the event that we receive a request for the following from the User, pursuant to the provisions of the Act, we shall without delay, conduct an appropriate investigation after confirming that the request is made by the owner of the information, and notify the User to that effect. In the event that we decide not to delete, correct, suspend the use of, or suspend provision to third parties based on reasonable grounds, we shall notify the User to that effect.
- When a User requests a correction, addition or deletion to the details of personal information pursuant to the provisions of the Act because the personal information is untrue.
- When a User requests the suspension of use or deletion of (hereafter, “Suspension of Use”) or suspension in provision to third parties of personal information on the grounds that the personal information is being used for purposes that exceed the scope disclosed in advance, is being used inappropriately, was collected by falsified or other illegal means or was provided to third parties without the consent of the User.
- When the User requests the Suspension of Use or suspension in provision to third parties of personal information on the grounds that we no longer need to use the personal information, there has been a leakage of information, or there is reason to believe that the rights or legitimate interests of the User have been harmed. (2) In the event that we are requested by the User to delete its personal information and we determine that it is necessary to accept such request pursuant to the Act, we shall delete such personal information after confirming the User to that effect. Note that in order to prevent usage in violation of our rules and regulations and the duplicate use of promotional campaigns (first month discounts), even if a User withdraws from the Service, we shall retain the personal information of the customer for a prescribed period of time. (3) Requests in accordance with the preceding 2 paragraphs shall be submitted by means of a method prescribed by us. (4) The provisions of the preceding 2 paragraphs shall not apply if we are not obligated to delete, correct, suspend use of, or suspend the provision of information to third parties pursuant to the Act and regulations.

We continuously strive to improve our policies and procedures for the handling of User’s Information and may modify this Policy as necessary. When the Policy has been modified, we shall notify Users through our website or on our application.
